The Executive Director is hired and monitored by the Board and is the head of management. The Executive Director has the following direct responsibilities:

  1. Participate in vision and strategic planning
    1. Work with the Board and the President in developing a strategic plan that is consistent with the values and purpose of the Asylum.
    2. Work with the Board and the President in ensuring this plan evolves with changing times.
  2. Develop an operational plan
    1. Determine the functions necessary to achieve the strategic plan and provide short descriptions of responsibility, and scope of authority for each.
    2. Work with Staff & volunteers to develop a plan for each function within the Asylum consistent with the vision and incorporates the expectations of the Board.
    3. Ensure the plan is achievable within the approved Budget.
    4. Draft policies for the approval of the Board and prepare procedures to implement the organizational policies; review existing policies on an annual basis and recommend changes to the Board as appropriate.
  3. Oversee implementation of plan
    1. Oversee the efficient and effective day-to-day operation of the organization.
    2. Provide the Board with regular reports on the revenues and expenditures and status against goals.
    3. Update the operational plan as necessary to achieve strategic goals and submit changes to the Board for approval.
  4. Develop and manage staff & volunteers
    1. Determine staffing requirements for organizational management and program delivery.
    2. Recruit volunteers to manage functions that are not covered by paid staff as required to achieve strategic goals.
    3. Establish a positive, healthy and safe work environment, for staff and volunteers.
    4. Coach and mentor staff and volunteers as appropriate.
    5. Implement a performance management process for all staff and volunteers which includes monitoring the performance on an on-going basis and an annual performance review.
    6. Manage turnover in staff & volunteers.
  5. Membership Services
    1. Manage New Member Orientation Process.
    2. Set up regular communication presentations with membership.
    3. Work with President to address membership issues.
  6. Propose budget to achieve goals
    1. Work with President and Staff to develop a proposed budget for each function.
    2. Include funding for events & special projects that are consistent with the values and purpose of the Asylum.
    3. Review this budget with the finance committee.
    4. Submit the budget with the President to the Board for approval at the beginning of each fiscal year and submit changes to the Board for approval.
  7. Finance
    1. Track costs and revenue by function, re-balance the budget within the total authorized budget as necessary.
    2. Submit changes to the total budget to the Board when necessary.
    3. Sign in the name and on behalf of the Corporation all duly authorized contracts, deeds and other instruments, including acceptances of gifts.
    4. Work with the Treasurer to ensure all financial reports, such as the income statement and balance sheet, are prepared according to generally accepted accounting principles and, if applicable, Securities and Exchange Commission regulations.
  8. Risk Management
    1. Identify, assess and track internal and external issues that affect the organization.
    2. Develop mitigation plans for risks and submit to the Board when necessary.
    3. Report status and issues to Board, President & membership.
  9. Communication
    1. Act as a spokesperson for the organization in operational matters with outside organizations. Include the President as backup when appropriate.
    2. Support the President as backup when the President is acting as the spokesperson for non-operational matters with outside organizations.
  10. Manage a Membership Judiciary with powers to suspend members from specific shops for a specific period of time or recommend the Board restrict a member’s membership.
